How does dealer invoicing and online payment work?
Invoices assemble from the rentals and work orders you already logged, so nothing is re-keyed. On the Plus plan you email a View / Pay link and the customer pays by card or bank transfer on a branded page. The money goes directly to your own Stripe account — Calibrate takes no cut of customer payments — and refunds issued through Stripe update the invoice balance automatically.
What is a customer statement, and how is it different from an invoice?
A statement is a summary of everything a customer currently owes: each open invoice with its balance and how overdue it is, their aging buckets, the payments received in the period, and a total due. Unlike an invoice it isn't a saved record with its own number — it's generated fresh each time from your current invoices and payments, so it always reflects the latest picture. Drafts are never included, and paid or voided invoices drop off.
How is aging calculated?
Open invoices are grouped by how far past due they are — current, 1–30, 31–60, 61–90, and 90+ days — with a total for each bucket. Only issued invoices with a remaining balance count, so drafts and fully-paid invoices never inflate the number.
Does it sync with QuickBooks?
Yes, one-way into QuickBooks Online on the Plus plan. Customers, invoice lines, tax, and payments flow from Calibrate into QBO so your accounting isn't re-keyed. The sync runs in the background and a hiccup on their side never blocks you saving work here. It syncs invoices and payments only — it does not push purchase orders, vendors, or bills.
Can I take payments without the Plus plan?
You can record payments by hand on every plan, which covers cheques, cash, and bank transfers you take yourself. Online card and ACH payment through Stripe, the payments dashboard, and QuickBooks sync are Plus features.
Where does the money actually land?
In your own Stripe account. You connect your Stripe account to Calibrate, customer payments settle to you, and Stripe pays out to your bank on its normal schedule. Calibrate never holds your money and takes no percentage of customer payments.
