This is the distinction that trips people up, so it's worth being blunt: presence hours and job labor are separate records on purpose. Keeping them apart is what lets you compare them.

What this isn't.
Workforce is a shop time clock. It records presence and keeps shift history you can correct — it does not calculate pay, handle tax, or run payroll. Most dealers feed the shift history into whatever payroll they already run.
Common questions about the time clock.
- What does the dealer time clock track?
- Presence — who is in the shop and for how long. Staff clock in from the home dashboard when they start, pause for lunch or an appointment, and clock out when they leave. Managers can see who's on the clock right now and how long they've been working, and every punch is kept as shift history so a forgotten one can be corrected.
- How is this different from logging time on a work order?
- They answer two different questions and are deliberately kept separate. The time clock records presence for the day — that someone was at the shop from 7 to 4. Work order timesheets record labor against a specific job at that technician's rate, which is what gets billed. Keeping them apart is what lets you compare the two.
- Can I compare hours present against hours billed?
- Yes, and that comparison is the point of having both. Calibrate puts presence hours next to the time logged on work order segments, so you can see who was in the shop and what that time actually went against — rather than assuming the two match.
- Is this a payroll system?
- No. Workforce is a shop time clock that records presence and shift history; it does not calculate pay, handle tax, or run payroll. Plenty of dealers use the shift history as the input to whatever payroll they already run.
- Does every user need a special permission to clock in?
- No. Clocking in and out is available to the whole team from the home dashboard once the Workforce module is switched on — it isn't gated behind a manager role. Seeing who else is on the clock is the manager-facing part.
- What if someone forgets to clock out?
- The shift history is editable, so a forgotten or mistaken punch can be corrected rather than leaving the day wrong forever. That follows the same rule as the rest of Calibrate: a mistake should be fixable, not a wall.
