Common questions about inventory.
- What does dealer inventory software track?
- In Calibrate, each unit is a single record carrying its specs, photos, documents, expenses, and meter readings, plus every rental, work order, inspection, and quote it has ever been on. Because expenses post against the unit, its true cost and margin stay current without a separate spreadsheet.
- Can Calibrate open a work order when service comes due?
- Yes. Set a preventive-maintenance schedule on the asset — a rule like every 250 hours or every 90 days — and when it comes due Calibrate can open the work order for you. When both an interval and a meter are set, the schedule comes due on whichever arrives first.
- How do I log engine hours or an odometer reading?
- From the Meters panel on the asset's overview, click Log reading and enter the value with the date it was read. Readings are kept as a history rather than a single overwritten number, so the newest reading by date is the one shown and a back-dated correction never destroys what was there. You can also update meters while logging time on a work order for that machine.
- Can I add spec fields my equipment needs?
- Yes, and an admin does it in-app. Define any custom field you want in Settings and it appears immediately, with no migration and no developer. For common equipment types you can also switch on a prebuilt field pack — crane, heavy equipment, trailers, or powersports — which adds a set of real spec fields to every unit at once.
- Does it stop the same unit being sold twice?
- Inventory is one live record rather than a spreadsheet copy, so when a unit's status changes it changes once and everyone sees it immediately. That is what removes the double-sold and double-listed problem that comes from a spreadsheet, a website, and two salespeople drifting apart.
- Can I get photos off a phone and onto the unit?
- Yes. Calibrate is mobile-friendly, so condition photos taken on a phone land straight on the unit record. You can leave comments on any photo for the team, and download a whole library as a zip when you need to hand files off.
