From filed to actually paid.
A claim moves along a status ladder you can rename to match how your shop talks. The point of the ladder is knowing, at any moment, what's still outstanding.
Status progression: Draft → Submitted → Approved → Denied → Reimbursed.
Without it: Claim in an email thread, Amount on a sticky note, Nobody sure what came back. Compared with On Calibrate: Claim on the machine, Claimed vs. reimbursed, Paperwork attached.
Calibrate keeps your record of the claims you file. It does not submit or file claims with a manufacturer on your behalf.
Nothing filed and forgotten.
For the service manager or owner who has money sitting with a manufacturer and no reliable way to know how much.
Tied to the machine
Every claim lives against an asset, so a unit's claim history is right there on its record with everything else.
Linked to the repair
Optionally link the work order the repair came off of, so the labor and parts behind a claim are one click away.
Claimed vs. reimbursed
The list shows both amounts side by side, so the gap between what you asked for and what came back is obvious.
The paperwork stays put
Attach the manufacturer's correspondence and supporting documents to the claim instead of a shared drive.
Statuses you can rename
The status list is yours to rename or extend in Settings — type one that isn't there and Calibrate keeps it rather than blocking the save.
Filter and find
Search by claim number, manufacturer, or asset, and filter by status or to include archived claims.
Common questions about warranty.
- Does Calibrate track warranty claims?
- Yes. Each claim is logged against the asset it's for, and optionally against the work order the repair came off of. You record the manufacturer, their claim number, a status, the amount claimed, and the relevant dates. The claims list shows the claim number, asset, manufacturer, linked work order, status, and the amounts claimed and reimbursed, so you can see what's outstanding at a glance.
- Does Calibrate submit claims to the manufacturer for me?
- No, and this is worth being clear about. Calibrate keeps your own record of the claims you file — status, amounts, dates, and paperwork — so nothing gets lost and you know what you're still owed. Filing with the manufacturer still happens through their process; Calibrate tracks the result rather than transmitting the claim.
- How do I know what I'm still owed?
- Every claim carries both the amount claimed and the amount reimbursed, and the claims list shows them side by side with the status. Filtering by status lets you pull up everything submitted but not yet reimbursed, which is the practical answer to what's outstanding.
- Can I change the claim statuses to match how we work?
- Yes. The default ladder is Draft, Submitted, Approved, Denied, and Reimbursed, and it's a reference list you can rename or extend in Settings → Reference data. If someone types a status that isn't in the list, Calibrate keeps it rather than blocking the save.
- Can I see a machine's claim history?
- Yes. Because claims are logged against the asset, a machine's claims appear right on its page alongside its inspections, work orders, and rental history — so the full picture of what that unit has cost you is in one place.
- What does a claim actually require?
- Only the asset. Everything else — manufacturer, claim number, status, amounts, and dates — can be left blank and filled in later as the claim progresses. You're never forced to complete a record before you can save it.
Every plan includes every module — they’re built to work together, so the record you need is already there.
