Build the checklist once
An inspection template is a reusable checklist — the pre-rental walkaround, the annual safety check. Tie it to an asset type and it's suggested automatically whenever someone inspects a machine of that type.

Run it against the machine
Work down the items, grouped under section headings like Boom or Carrier. Mark each one, jot a note, and attach photos on the items that need them. Marks save as you go, so you can walk away and come back.

Turn a failure into a repair
From a failed item, create a work order without switching screens — Calibrate opens it prefilled with the asset and the failed item as what's wrong, so the fix is queued in one step.
Four ways to mark a check.
Each item on a template has a kind, which decides how it's marked when someone runs the inspection.

A cert that lapses is a machine that can't work.
Certifications live on the asset with their issue and expiry dates. Calibrate works the status out from the expiry date, so it's never something a person forgot to update.
A certification timeline: valid while there is runway, expiring soon as the date approaches, expired once it passes.

Common questions about inspections.
- Does Calibrate do equipment inspections?
- Yes. You run a checklist inspection against a specific machine, either from a reusable template or as a blank inspection you build as you go. Items can be grouped into sections, marked pass/fail, by number, by text, or on a condition scale, and can carry notes and photos. When you're done you set an overall result of Pass, Fail, or Needs review, along with the date the machine was actually checked.
- Can I track OSHA or ANSI certification expiry?
- Yes. Record each certification's type, certificate number, issue date, and expiry date on the asset, and Calibrate derives the status from the expiry date itself — valid, expiring soon, or expired — updating on its own as dates roll by. Attach the report PDF or photos to the certification so each year's paperwork stays with it. To be clear about the boundary: Calibrate records and flags this for your own compliance process; it does not file anything with OSHA, ANSI, ASME, or an OEM on your behalf.
- What happens when an inspection item fails?
- You can create a work order directly from the failed item without leaving the inspection. Calibrate opens a new work order already filled in with the asset and the failed item as the problem, so the repair is queued in one step and a tech can pick it up from there.
- Can I build my own inspection checklists?
- Yes, in Settings → Inspection templates, and an admin does it in-app with no developer involved. Give the template a name, optionally tie it to an asset type so it gets suggested automatically, then add checklist items — each with an optional section heading, a label, and a kind that decides how it's marked.
- Can a tech finish an inspection if something is missing?
- Yes, and that is deliberate. A photo-required badge is a reminder rather than a hard block, items don't have to be done in order, and nothing locks when you finish — if you spot a mistake later you can go back and correct the record. An unfamiliar value or a missing photo should never be the reason a tech's work can't be saved.
- Where do past inspections live?
- Every inspection stays on the asset's Inspections tab and in the main Inspections list, newest first, with its result and date. Open any one to see exactly what was checked, how each item was marked, and the notes from that day.
