- What does work order software do for a dealer's service department?
- It turns the repair into a billable record. In Calibrate a work order holds the labor each technician logged at their own rate, the parts and charges consumed, and a signature on the approved work — then flows that through to an invoice. Because the ticket stays attached to the machine, that unit's whole service history is one click away later.
- Can I schedule and assign jobs to technicians?
- Yes. The Schedule view is a dispatch board laid out as a week, with one column per day and one row per technician, so you can see the whole crew at a glance. On the work order itself you set assignees — one, several, or none — plus a scheduled start and an optional end time so a longer job shows as a block. Nothing is required, so an unscheduled or unassigned ticket is still perfectly valid.
- Can labor be billed at different rates per person?
- Yes. Each technician logs their own hours at their own rate, so labor cost reflects who actually did the work rather than a single flat shop rate applied to everything.
- Can I capture a customer signature on the work?
- Yes. Charges can be signed, giving you a clear record of what the customer approved before it goes on the invoice — which is what stops the argument about scope after the fact.
- Do I have to type in parts bought at a store?
- Not on Plus or Enterprise. Upload a PDF, photo, Word, or text file of the receipt and Calibrate reads it — up to five pages — then suggests line items with part number, quantity, cost, and sell price. You review them, uncheck anything that isn't a part such as tax or shipping, and approve what goes onto the work order. On Core you can add charges by hand on any plan.
- Does a completed job become an invoice?
- Yes. The labor, parts, and charges already on the ticket assemble into an invoice in Financials without being re-keyed. On Plus, the customer can pay it online by card or ACH, and it syncs one-way into QuickBooks Online.
