- How much does a dealer management system cost?
- Calibrate starts at $2,000/month for up to 5 users on the Core plan — every module and e-signatures included — and $5,000/month for up to 20 users on Plus, which adds online invoice payments (Stripe), AI tools, managed email, and QuickBooks Online sync. Enterprise is custom-quoted for unlimited users. All plans bill monthly or annually and start with a 14-day free trial, no credit card required.
- What counts as a user?
- Anyone with their own login — admins, sales, service techs, the front desk. Plans are sized by how many people are in the system, and the cap is soft: hit it and everyone keeps working, we just talk about the right plan.
- Are modules sold separately?
- No. Every plan includes every module — inventory, CRM, quotes, rentals, work orders, workforce, parts, and invoicing. Plans differ by team size, online payments, AI tools, managed email, accounting and marketing sync, and support — never by which modules you can unlock.
- What AI tools are included?
- On Plus and Enterprise, Calibrate can read a parts receipt (PDF or photo) into editable work-order charges, and draft customer-facing labor summaries from time-log notes when you invoice a job. You always review before anything is saved. AI tools are not included on Core.
- Can customers pay invoices online?
- Yes on Plus and Enterprise. Connect your own Stripe account and customers pay by card or US bank transfer (ACH) from a View / Pay link on the invoice. Money goes straight to you — Calibrate never holds it. Core includes invoicing and recording payments by hand; online collection is a Plus feature.
- Is there a setup fee or contract?
- No implementation project and no five-figure onboarding. You sign up, bring your customers and fleet in from a spreadsheet with the guided import wizard, and go. Enterprise includes hands-on migration help.
- What happens if I stop paying?
- Your account goes read-only with full access to everything — we never delete your records or lock you out of your own data. Export it anytime, as spreadsheets or a complete backup.
- Can I change plans later?
- Yes, anytime. Move up as your team grows — for example to Plus for online payments, AI tools, and managed email from your own domain.
